This Privacy Policy explains how OptimDex ("we", "us", "our") collects, uses, discloses, and safeguards information about you when you access or use OptimDex and any related services (collectively, the "Services").
Information We Collect
We may collect the following categories of information:
- We do not collect account or contact details (no account creation or profile data).
- Usage and device data: pages viewed, links clicked, referring/exit pages, IP address, device identifiers, browser type, operating system, approximate location (derived from IP), and timestamps.
- We do not collect user-generated content such as messages or reviews.
- Third-party sources: analytics from Google Analytics only.
- Error & performance telemetry (Sentry): anonymized session identifier (hashed), route/page identifier, feature area tag, truncated input previews (first 128 chars without file contents), browser + OS, device type (e.g., mobile/desktop), timezone, error stack traces, and performance timing (e.g., navigation and processing duration). We intentionally avoid logging full file names, image data, or personally identifiable content.
How We Use Information
We use information to:
- Provide, maintain, and improve the Services and troubleshoot issues.
- Personalize experiences based on aggregate analytics (no user accounts).
- Not applicable: we do not process orders or payments.
- Communicate with you about updates, security alerts, and administrative messages.
- We do not send marketing communications.
- Analyze usage to understand performance and enhance user experience.
- Detect, prevent, and respond to fraud, abuse, and security incidents.
- Comply with legal obligations and enforce our terms and policies.
- Capture and triage errors using Sentry to maintain reliability (essential functional telemetry).
- Measure route and feature performance (navigation timing, processing durations) to optimize experience.
Error Monitoring & Performance (Sentry)
We use Sentry for essential error and performance monitoring. This helps us identify crashes, failed conversions, and slow operations without collecting personally identifiable content. Telemetry is limited to technical diagnostics (see the “Information We Collect” section).
Sentry events may include truncated user input samples (first 128 characters) solely to improve parsing patterns; we never log full image data, uploaded file contents, or full textual content.
Error monitoring is considered strictly necessary for service reliability and cannot be disabled. Non-essential analytics (e.g., Google Analytics where consent is required) remain subject to your regional consent choices. Where required, we hash or pseudonymize identifiers before transmission.
Legal Bases for Processing
If you are in the EU/EEA and the UK, we process personal data under the following legal bases, as applicable:
- Performance of a contract (e.g., to provide the Services).
- Legitimate interests (e.g., to secure and improve the Services).
- Consent (e.g., analytics cookies, where required). You can withdraw consent at any time.
- Compliance with a legal obligation.
Cookies
The Services use cookies and similar technologies such as pixel tags, web beacons, clear GIFs, and JavaScript (collectively, "Cookies") to enable our servers to recognize your browser, tell us how and when you visit and use our Services, analyze trends, learn about our user base, and operate and improve the Services. Cookies are small pieces of data—usually text files—placed on your device when you access our Services. We may also supplement the information we collect from you with information received from third parties, including third parties that have placed their own Cookies on your device(s).
We place Essential Cookies required for site operation (for example, to generate an anonymous session ID). We also use Google Analytics cookies to understand aggregate usage; in some regions these may be considered non‑essential and require consent. Disabling certain Cookies may make some features and services unavailable.

Analytics and Advertising
We use Google Analytics to help us understand how the Services are used (e.g., pages visited, events, device and browser information, and general location derived from IP). Google may set cookies and collect identifiers and usage data.

How We Share Information
We share information in the following circumstances:
- With service providers that support analytics (Google Analytics).
- For legal reasons: to comply with law, regulation, lawful requests, or to protect rights and safety.
- Business transfers: in connection with a merger, acquisition, financing, or sale of assets.
- With your consent or at your direction.
We do not sell or share personal information as defined by U.S. state privacy laws (including CPRA). We do not engage in targeted advertising.
International Data Transfers
We may transfer, store, and process information outside of your country of residence. Where required, we implement appropriate safeguards (e.g., Standard Contractual Clauses) for cross‑border transfers.
Data Retention
We retain analytics data for the periods set by Google Analytics and for no longer than necessary for the purposes described in this policy. The anonymous session ID cookie is retained for up to approximately 30 days by default (subject to change via configuration) and only as long as needed for analytics and site operation.
Files you upload are processed transiently to provide requested functionality (for example, converting images). We do not permanently store, host, or back up your files, and any temporary processing data is removed after completion.
Your Rights & Choices
Depending on your location, you may have rights regarding your personal information, such as access, correction, deletion, portability, restriction, objection, and withdrawal of consent. Security
We use administrative, technical, and physical safeguards appropriate to the nature of the data we process. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Children’s Privacy
The Services are not directed to children under 13 (or the age of consent in your jurisdiction, if higher) and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will take appropriate steps.
Jurisdiction‑Specific Disclosures
- EU/EEA and the UK: We rely on legitimate interests and consent (for analytics cookies where required). Data may be processed outside your country; where applicable, appropriate safeguards are applied.
- California: We do not sell or share personal information. Categories collected: identifiers (e.g., cookie IDs, IP address), and internet or other electronic network activity information (e.g., pages viewed, events). Purposes: analytics and service improvement. Disclosures: to Google Analytics as a service provider.
- No specific regions are targeted; this policy applies globally.
Changes to This Policy
We may update this Privacy Policy from time to time. The updated version will be indicated by an updated “Effective date” and will be effective when posted. We encourage you to review this page periodically.
